ACTED currently is seeking a Filing Intern to join our HR team for a 6-8 weeks temporary assignment.
Assignment
The Archivist will be mainly based at the Capital Office in Amman, but will also be supporting all the bases (Al Azraq, Al Zaatari and Al Mafraq) as necessary; notably Zaatari and Mafraq base. He/She is managed by the Compliance Department at Capital level.
The Archivist is responsible for the preservation, organization and servicing archival material.

Responsibilities
This short-term assignment aims to achieve the following specific objectives:
To standardize the manner in which documents indexed/catalogued and how files are organized and stored.
To file and store documents in a manner that they can be easily researchable in the archive and inside each department’s office.
To reduce the amount of paper-based storage where and when necessary in keeping with donors and ACTED’s guidelines on information management and document retention periods.
Support and enhance the capacity of ACTED staff in the management of daily ACTED documentation and archiving system.
Work and Responsibilities
The work to be carried out entails the following:
1)Develop Documentation Classification and Archive Scheme
Prepare archival records, such as document descriptions, to allow easy access to information.
Organize archival records and develop classification systems to facilitate access to archival materials.
Locate new materials and direct their acquisition and display.
A classification scheme is key in the identification of documents and for facilitating their search. Documents should identifiable using ACTED labelling guidelines.
2)Develop soft copies for ACTED documentation only available in hard copy
Convert documents into electronic format (digitization) and store them into a shared folder with sub folders based on ACTED classification scheme.
Create and maintain accessible, retrievable computer archives and databases.
3)Support and training of ACTED staff in the filing process
Support and supervise activities of workers who assist in arranging, cataloguing, exhibiting and maintaining collections of valuable materials.
Skills
Ability to manage assigned tasks in an assertive, efficient and timely manner.
Manage time effectively, prioritising tasks and able to work to deadlines.
Generates & applying new ideas & solutions.
Good English Language Skills.
Experience of admin work is preferred.
